Project Administrator

DBI Projects is seeking to immediately bring on a new Project Administrator to take on a dynamic role providing administrative support to a team of project managers. This position is crucial to the day-to-day operations of the company and will expose the candidate to all aspects of internal operations. Responsibilities:

Reporting to Senior Management, the Project Administrator’s primary responsibilities are:

  • Assuming responsibility as office-wide point person
  • Providing general support to visitors and guests
  • Screening and routing phone calls
  • Coordinating domestic and international travel for senior management
  • Assisting Senior Leadership in the execution of various aspects of business operations
  • Coordinating events and other in-house activities, as well as company outings
  • Assisting Accounts Payable and Accounts Receivable departments in tracking invoices and payments
  • Preparing and coordinating orders and deliveries for project teams
  • Coordinating the signing and filing of paperwork
  • Scheduling teams in conference rooms
  • Sorting and distributing office mail, handling shipments both domestically and internationally
  • Required Experience:

    Prospective applicants should have at least 1-3 years of office experience and superb document processing skills (MS Word, Outlook, Powerpoint, Excel, Bluebeam). Familiarity with Adobe InDesign is a plus.

    The successful candidate will be extremely organized, efficient, and self-motivated, possessing strong written and verbal communication skills, and have experience handling confidential and sensitive information. Excellent time management and the ability to multi-task and prioritize work are a must.

    Role Overview:

    Senior Project Managers are the primary point of contact with the client and for all project consultants. They are responsible for overall budget and schedule management, in addition to strategic planning with the client to anticipate and address project specific needs. As DBI is typically one of the first consultants hired for a project, Senior Project Managers are responsible for assisting the client in developing an overall project framework and selecting the appropriate project team to ensure successful and timely completion of the project.

    Required Experience:

    Prospective applicants should have 10-20 years of experience with project management, construction management, architecture, engineering, development or related practices, with experience leading project delivery for public clients. Applicants should have direct experience in all phases of construction and should have served in the role of senior project manager or project lead on at least three projects greater than 50,000 SF. For DBI’s upcoming projects, we are specifically interested in applicants who have worked on the following types of projects:

    • Public Projects
    • Transportation or Transit-Oriented Development Projects
    • Large-scale Retail Projects

    Additionally, previous work experience should include direct involvement in:

    • Ground up construction
    • Technically complex projects
    • Site supervision and construction administration
    • Coordinating between or with A/E teams, contractors, various stakeholders
    • Schedule and budget management
